Privacy Notice
Lindsey Roads Cycling Club takes your privacy seriously. We are a “controller” of the personal information that you provide to us and this privacy notice sets out how, why and for how long we will use your personal data, as well as who it is shared with.
What personal data we hold on you
When you register as a member of Lindsey Roads CC or renew your membership we may ask you for some or all of the following personal information:
- Contact details – name, address, email address, date of birth and phone numbers
- Emergency contact details – emergency contact name and phone number Why we need your personal information
The reason we need your personal data is to be able to administer your membership, and provide the membership services you are signing up to when you register with the club. Our lawful basis for processing your personal data is that we have a contractual obligation to you as a member to provide the services you are registering for.
We may use our members personal information for:
- sharing data with committee members to provide you with news and information about club activities, membership renewals or invitation to social events;
- club newsletter promoting club activity
- publishing of race and competition results
- recording of sporting achievements of club members may be retained in results, club records, minutes of Committee meetings, newsletters, articles on the club website and print clippings (newspapers, magazines etc.) after the member has left Lindsey Roads CC.
- Respond to and investigate your questions, comments, support needs, complaints, concerns or allegations.
- The club has a Facebook social media group which all members are free to join. Please note that the provider of the social media platform has their own privacy policy and that the club does not accept any responsibility or liability for this policy. Please check this policy before you submit any personal data on the club social media pages.
Other uses of your personal information
- We may ask you if we can process your personal information for other purposes. Where we do so, we will provide you with an additional privacy notice explaining how we will use your information for these purposes.
- From time to time at races and club events photographs may be taken of club members by individuals who may or may not be members of the club. These are often posted on social media platforms or may just be held by the taker.
- On occasion we may collect personal data from non-members (e.g. any non-member participant who fills in the signing on sheet at a reliability ride). This information will be stored for 12 months after an event and then destroyed securely (apart from race results which will be kept for historical purposes). How we protect your personal information
Your personal information is accessed by our committee members only for the purposes set out above. It is stored by our club in an online database which is password protected and managed by the club membership secretary.
Lindsey Roads CC does not supply any personal data it holds for this purpose to any third party.
How long we keep your personal information
We only keep your personal information for as long as necessary to provide you with membership services. Unless you ask us not to, we will review and delete your personal information where you have not renewed your membership with us for 1 year.
You have a right to:
- Change your communication preferences or restrict the processing of your personal data for specific purposes.
- Request that we correct your personal data if you believe it is inaccurate or incomplete.
- Access the personal data that we hold about you through a “subject access request”.
- Request that we delete your personal information. You can contact us at [email protected].
The website
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.
